Documentation
Everything HoopoTrack does, explained in the order you are likely to need it. Start with Getting started if this is your first day; otherwise jump to the section you are working on.
-
Getting started
Open an account, build your first workflow from a template, take in your first ticket, and hand the customer a tracking link.
-
Workflows and stages
Define the ordered stages a job passes through, with durations, approval steps, queue categories, and a default workflow for new tickets.
-
Tickets and the board
Take work in, move it through its stages, assign it to staff, attach notes and photos, and follow the estimated completion window.
-
Prices and payments
Put a price on a job, send a quote the customer approves from their tracking page, record deposits and payments at the counter, hand the job over from the board, count the drawer at the end of the day, and export a period for your accountant.
-
Notifications
Choose which stages tell the customer, over email, WhatsApp or push, see for each ticket exactly who will hear and what is stopping the rest, and set up your own alerts.
-
Customer pages
The public tracking page and the waiting-room board on your linked screens: what the customer sees, the tracking PIN, approvals, escalation, and feedback.
-
Self check-in
Put the QR poster on your counter so customers check themselves in from their phone, then turn each check-in into a ticket from New Ticket or save the person as a customer from Clients › Self check-ins, and choose when check-in is open.
-
Team and clients
Invite staff and choose what each of them may do, keep a client book with its ticket history, import your customer list or export it, and review the audit log.
-
Shop settings
Where each setting lives: your shop profile, contact details, languages, review link and item labels under Manage › Shop; customer channels under Manage › Customer notifications; the waiting-room screen and the TVs linked to it under Front desk; prices and payments under Payments › Settings.
-
Public page
Give your shop its own page on hoopo.app, with your services and prices, opening hours, contact buttons, layout and colours, and see which changes go online at once and which wait for review.
-
AI agents
Connect an AI assistant to your shop, choose what it may read and do, decide what waits for your yes before it reaches a customer, and cut it off in one press.
-
Plans and quotas
How tickets, clients and messages are counted against your monthly allowance and your plan's total, why workflows and staff are places held at once, and how to change plan.
